This policy explains what personal data Rublovka Media collects when you contact us or order a placement, why we collect it, who we share it with, and the rights you have over it.
Who is responsible for your data
Rublovka Media is the controller of the personal data described in this policy. Further information about the publisher of this website is set out in the Legal Notice. For any question about this policy or to exercise your rights, write to contact@rublovkamedia.com.
What we collect
When you contact us
Our contact buttons open a pre-filled message on WhatsApp or in your email client. When you send it, we receive what you chose to write: typically your name, your company, your website, your industry, the outlets or countries you are interested in, your budget range, your desired timeline, and any image or document you attach. If you contact us on WhatsApp, we also receive the phone number associated with your account.
When you order a placement
To deliver a placement we additionally process the content of your brief, the article drafts and your approval, the destination URL and anchor text for any link, and the correspondence between us. For invoicing we process your billing details. We do not receive or store your card details: payment is handled by the payment provider named on your invoice.
When you browse this website
This site sets no advertising, analytics or profiling cookies. Our host processes standard server logs, including IP addresses, for security and delivery purposes.
Why we process it, and on what basis
- To answer your enquiry and prepare a proposal – steps taken at your request prior to entering into a contract.
- To deliver a placement you have ordered – performance of the contract between us.
- To issue invoices and keep accounting records – compliance with our legal obligations.
- To keep a record of what was agreed, and to establish or defend legal claims – our legitimate interest in operating the business and evidencing what we committed to.
We do not sell your data, and we do not use it to build advertising profiles.
Who we share it with
We share the minimum necessary, and only with:
- The publication and the writer handling your placement. Delivering an article necessarily means passing your brief, your approved text and your link target to the journalist and the newsroom concerned.
- Our hosting provider, Netlify, Inc., which serves this website.
- Our email and messaging providers, including WhatsApp (Meta) if that is the channel you chose to contact us on. Messages you send through WhatsApp are also subject to WhatsApp's own privacy terms, which we do not control.
- Our accountants, payment provider and, where required, legal advisers or public authorities.
International transfers
We place articles in more than 25 countries, and some of our providers are established outside the European Economic Area, including in the United States. Where personal data is transferred outside the EEA or the United Kingdom, we rely on the safeguards recognised by applicable law, such as standard contractual clauses or an adequacy decision.
How long we keep it
- Enquiries that do not lead to an order: up to 3 years from the last contact.
- Placement files, briefs, approvals and delivery reports: for the duration of the relationship and up to 5 years afterwards, so we can evidence what was agreed and delivered.
- Invoices and accounting records: for the period required by the applicable accounting and tax law, generally 10 years.
Your rights
Subject to the conditions set by applicable data protection law, you have the right to access the personal data we hold about you, to have it corrected, to have it erased, to restrict or object to its processing, and to receive it in a portable format. Where processing is based on consent, you may withdraw that consent at any time.
To exercise any of these rights, write to contact@rublovkamedia.com. We reply within one month. If you are not satisfied with our response, you may lodge a complaint with the data protection supervisory authority of the country where you live or work.
One limit is worth stating plainly: an article already published cannot always be withdrawn. Once a newsroom has published a piece, the content is under that publication's editorial control, and removal is at its discretion. We will pass on a removal request and tell you the outcome, but we cannot guarantee it.
Security
This site is served over HTTPS with a strict transport policy and standard security headers. Access to client files is limited to the people who need it to deliver a placement. No system is perfectly secure; if you believe your data has been exposed, tell us at contact@rublovkamedia.com and we will investigate.
Changes to this policy
We update this policy when our practices or our providers change. The date at the top of this page shows the last revision. If a change materially affects how we use data you have already given us, we will tell you directly.
